REPORTING TO: HR MANAGER
Main duties:
To provide administrative support for the office/ UBL Clinic in order to ensure smooth office operations
Key responsibilities:
Supply Chain Management and Logistics:
Ensure procurement is done according to UBL regulations
Ensure the update of the pre-selected suppliers list
Ensure transport services are cost efficient and reliable and that fuel consumption is reviewed on a monthly basis
Ensure assets and property are effectively managed, asset list is updated regularly and assets are disposed according to UBL regulations
Security:
Ensure that the security management plan and standard operating procedures are updated on an annual basis
Oversee the monitoring and reporting on Uganda security conditions and that security/safety procedures are adhered to by national and international staff
Ensure that security phone tree, communication and emergency contact/number lists are maintained.
Administration:
Oversee all project and staff travel activities including national and international transportation, visas and hotels.
Ensure that UBL offices are well run and professional in appearance.
Ensure that UBL has an effective and professional front desk.
Responsible for updating Legal requirement for operation (NEMA certificate, trading license, factory registration, UNBS permits, ISO Certificate and Safety Certificate, etc.) in coordination with relevant departments.
Clinic Operations Support:
Actively participate in the development, submission of bids and proposals for the UBL Clinic.
Provide administrative and management expertise in the design, implementation, and monitoring of UBL clinic’s activities.
Play an active role as a team member on all UBL’s projects and coordinate clinic team efforts by putting in place regular communication mechanisms.
Working with UBL clinic staff to establish procurement plans to ensure constant supply of drugs in compliance with procurement guidelines
Be responsible for the contractual agreements and insurance for all UBL clinic equipment.
Track reporting timelines and work with technical team to ensure adherence to contractual reporting schedules.
Ensure that finance transactions related to UBL Clinic are processed in an accurate and timely manner
Qualification/requirements:
The minimum qualifications include:
A relevant bachelor’s degree
3-5 years relevant experience
Experience in supply chain management
Experience in the corporate/private sector will be an added advantage
Knowledge of public donor compliance is desirable
