Job Title: Senior Administrator
Duty station: AFENET Secretariat, Kampala, Uganda
BACKGROUND:
The African Field Epidemiology Network (AFENET) is a not for profit, networking alliance and service organization that brings together Field Epidemiology and Laboratory Training Programs (FELTPs) across Africa working with Ministries of Health, regional and international partners. AFENET works to strengthen epidemiological and disease surveillance capabilities of Africa countries that are critical to meeting the requirements of the Integrated Disease Surveillance and Response (IDSR) strategy, and the International Health Regulations (IHR).
Established in 2005, AFENET has supported more than 20 African countries across sub-Saharan Africa advance their capabilities in early detection and response to infectious and non-infectious diseases. Due to the nature of work, AFENET requires a lot of administrative support to be able to effectively deliver on its strategic goals. AFENET is therefore looking for a Senior Administrator to work with an already existing Administrative unit under the supervision of the Administrative Manager.
MAJOR RESPONSIBILITIES:
The successful candidate shall have to: -
Act as the liaison and in charge of support services between secretariat and the respective program/project team members.
In liaison with the various program/project stakeholders draw program activity plans and observe their executions as scheduled.
Perform variety of administrative and operational support activities.
Conduct induction and orientation to the program staff on joining to ensure their appropriate job fit.
Prepare and follow up on payment requisitions in regard to the various activities within the program/project.
In charge of receiving, and distributing of incoming and outgoing correspondences about the Program/project.
Attend meetings; take, transcribe and distribute minutes concerning the respective Program as directed. Maintain an accurate and detailed calendar of the various events, due dates and schedules related to the assignments within the programs to ensure these activities occur as scheduled.
As assigned, prepare orders for purchase of materials, supplies and equipment upon approval; maintain records of transactions of the same.
Establish and maintain a variety of records and filing systems pertaining to areas of responsibility.
In consultation with the immediate supervisor make travel arrangements for various personnel under the program/ project.
Maintain records of program assets.
Prepare and submit periodical project activity reports and updates about the Program.
Perform any other duties as assigned from time to time by the supervisor.
Requirements:
The successful candidate should have a minimum of a degree in Business Administration or relevant qualifications.
Possession of Post graduate qualifications in Project Planning and management is preferred advantage.
The ideal candidate should have not less than 5 years' experience in project management, project administration or coordination and proof of such in similar project work is important.
A mature and committed person with excellent interpersonal and a fast leaner.
Must be proficient in English language both written and oral and knowledge of French language is added advantage.
Excellent Computer knowledge.
