The United States Peace Corps seeks a Medical Receptionist/Secretary to serve in the Medical Unit in Kampala, Uganda. The Receptionist/Secretary will provide clerical support to the Medical Officers and Medical Unit serving Peace Corps Volunteers (PCVs) in Uganda and will work under the coordination the Peace Corps Medical Officers ( PCMOs ) and overall supervision of the Country Director in Uganda.

Duties include but are not limited to:
The Medical Secretary is primarily responsible for the administrative support of the Health Unit and to the PCMOs. The Medical Secretary is a multi-functional position requiring a high level of administrative skill and abilities.
Medical Office Administration
1. Develop and maintain a medical travel/site visit calendar, calendar of weekly/monthly new and recurring meetings and calendar of med unit annual leave. In conjunction with PCMO’s prepares travel calendar, travel authorizations, trip planning coordination with the GSO team and making all hotel reservations needed.
2. Responsible for updating post’s master calendar with planned medical events, travel and trainings.
3. Develop and maintain log system for recording when PCVs are sent to outside consultants and other outside facilities, ensure that reports are received for each event, and cross check invoices against log
4. Provide daily status to senior Peace Corps staff of PCVs on medical hold including entering this data into office electronic records, VIDA
5. Maintain an up-to-date listing of PCV’ sites and contact numbers for quick reference at all times
6. Maintain active Volunteers on country location map.
7. Enter all relevant information into VIDA system.
8. Perform other duties as assigned
Medical Office Secretarial Support
1. Greet Volunteers and visitors to the Health Unit
2. Ensure that phone calls to the medical office during business hours are answered and all actions followed through, takes messages for PCMO’s when not available. Routes incoming correspondence to PCMO’s.
3. Oversee scheduling of all medical appointments (routine, urgent, Mid-service, COS, dentists, consultants) and responsible for reception and registration of all medical bills submitted by PCV’s and local medical service providers. Submits bills to PCMO’s for clearance verifying name of volunteer, date of service and services were requested by PCMO, keep updated files of all medical bills presented by PCV’s and others.
4. Accompany PCV to local provider, lab or dentist as may be needed
5. Develop and maintain a filing system in accordance with Peace Corps guidelines
6. Maintain Health Records, including filing reports, keeping files in order and adding new pages
7. Assists PCMO and MA in reviewing PCV handbook, Medical handbook and cookbook, updating all necessary addresses, contact information and other details needed
8. Assist in downloading, printing and assembling the Trainee Health Records before PST (Pre-service Training).
9. Register and prepare labs for shipment to PC HQ OMS (office of medical services).
10. Maintain adequate supplies of needed forms, assist in material preparation for PST and make COS ( Completion of Service ) packets
11. Forward all Health Records to the Medical Records Department in Washington at the COS of each PCV
12. Fill out travel and reimbursement vouchers for PCVs
13. Maintain confidentiality of all medical information
14. Perform other duties as assigned
Level and effort
Performs duties during a 40 hour work week at a set work schedule as indicated in the contract. Events may require occasional work in the evenings and on weekends and holidays.
Qualifications
Education: University degree with at least 1 year of professional clerical and administrative experience or
Education: Minimum of a senior secondary education with at least 2 plus years of clerical and administrative experience, experience in a medical office preferred
Language: Reading, writing and speaking fluency in English in addition to a widely spoken host country language
Experience: Receptionist duties, clerical and computer skills
Skills:
• Computer skills, including knowledge of Microsoft Word, Excel and Outlook
• Energetic and efficient with good organizational skills
• Good interpersonal skills including cross cultural and diplomatic awareness.
• Ability to be a team player and be flexible.
• Ability to follow detailed instructions
