Updates the clients' weekly loan statistics indicating the number of village banks, number of members, total loan releases, repayments, average loan size, etc.:
Ensures that the MIS computerized system produces reports on time and dissemination is done to appropriate stakeholders
In coordination with the Branch Management, he/she supports Staff and with the guidance from the General Manager and or Finance Controller, prepares reports required by the different stakeholders and other pertinent documents.
Packages Annual Reports for General Manager to present to the Board of Directors:
Determines report requirements of development partners and ensures the accurate and timely submission of them (in co-ordination with the Finance and field offices);


Requirements
Qualifications, Skills and Experience:
The ICT manager should possess a degree in MIS/IT/Software Engineering/ Computer Science, At least three (3) years in a Managerial position.
Professional certification like Microsoft Certified Systems Engineer (MCSE) and familiarity with Cobit 4.1/ 15027001/2 framework will he added advantage.
Skills in written and spoken English;

Supervise the logistics team: purchase officer, storekeeper, radio operator, drivers, mechanic, watchmen as may be appropriate
Assists clarify and adjust job descriptions of the capital logistics team
Provide support in terms of training/capacity building to team members
Fill the gap (be the backup) of any logistic team member in the organization when need arises.
Field movement and support to the base logistician when required.
2.     Procurement management
Collect the orders from the head office and bases, and update the procurement follow-up
Elaborate a monthly purchase forecast based on the procurement planning tool and pending orders
Ensure an update of the catalogue (price list) is done every three months through regular quotations or call for interests
3.     Storage and transport management:
Follow-up the stock management (storage conditions, stock reports, expiry dates.)
Monitor deliveries to the departments/bases/ programmes
Follow-up the clearance process for freight arriving by international flight.
4.     Equipment and fleet management :
Supervise the allocation and use of equipments and Update the head office equipment list.
Ensure installation, maintenance and repair of the equipments
Monitor any needed construction, rehabilitation and maintenance of all structures related to the functioning of the capital base (office, guest-house, warehouse... etc).
Manage and ensure the daily communication systems (radio, phones...) runs smoothly.
Ensure the standard ACF communication procedures are respected in the capital and on the bases.


Requirements
Qualifications, Skills and Experience:
The Capital logistician should posses a first degree in Logistics and Procurement Management or any other equivalent area.
Three years working experience in a busy office setting.
Experience with an NGO in a similar role is an added advantage.
Experience in liaising with insurance companies.
Demonstrated oven and clean integrity/character with ability to work in a cross cultural exposure.
Excellent communication skills in English (Written Spoken)
Computer literacy particularly Microsoft Excel
Strong interpersonal skills and the ability to support, motivate, and train staff.

1.      Accounting and Financial Management
Manages on going cash and liquidity needs loan fund and operating accounts.

Posts transactions, reconciles, files deposit slips, payment vouchers, loan agreements. receives acknowledgement and insurance to from clients and attaches repayment schedules on all client files.

Applies and seeks for loans approval and disbursement from branch head.
2.     Financial and Management Report Production and Co-ordination:
Preparation of monthly AIG (CHARTIS) reports
Calling clients Income and pick their cheque with the approval of the branch Head
Maintains petty cash fund and follows all imprest fund procedures for handling and maintenance of petty cash, including IN preparation of fund replenishment summary report
3.     Planning, Budgeting and Internal Controls :
·         Establishes and maintains adequate control system to enable the branches have reliable data through daily reconciliations, use of passwords. Lock and limit accessibility of non finance staff to FOs teller cabins and compute usage.
·         Ensure that approved requests are within approved branch budget .
·         Ensure expense liquidation and document as required with paid stamp.
·         Be the custodian of cheque books and safe keys.
·         Ensure timely reconciliation of the certified bank accounts .
·         Help the Branch Head in the preparations of operational plans and budgets.
·         Registration, filing and recording of withdrawn securities.
4.     Disbursement Officer for All Payments:
Prepare loans and operational expenses
Post Kiva loans on website
Submit monthly bank reconciliations to Finance Controller and train other field finance officers.
Maintain and update cash book and perform any other duties as assigned by superiors.

Requirements
Qualifications, Skills and Experience:

The finance officer should posses a degree in qualifications related to business, Accounting , Accounting or Finance or Qualifications like ACCA/CIMA/CPA with qualifications of a diploma in UDBS or its equivalent .
Good understanding of HOFOKAM's cash management policies and proper book keep procedures,
Ability to work under pressure;
High level of integrity;
Very honest, dependable and trustworthy.
